Administrative Specialist III

Seattle Public Utilities needs an experienced individual to perform specialized and complex administrative functions in support of division directors, managers and programs within the Customer Service Branch, and supervise two administrative staff. 
•  Perform complex tasks which involve gathering, analyzing and compiling statistical data and prepare into reports and presentations. 
•  Review and code invoices for payments.
•  Make recommendations on administrative or operational policies, issues or problems. 
•  Prepare records for archiving in accordance with City record retention schedules. 
•  Serve as lead back-up to the Administrative Staff Assistant. 
•  Serve as back-up Training Registrar. 
•  Schedule high-level meetings, coordinate logistics, prepare materials, and take meeting minutes.
•  Prepare routine correspondence and answer questions or requests from external customers.
•  Conduct special projects and research as assigned.
•  Draft, format, and proofread written materials.
•  Assemble materials for presentations.
•  Arrange for training and travel and maintain records.
•  Track consultant contracts. 
•  Provide administrative support as needed for special programs and projects.  (VAF#092-08)

•  Demonstrated proficiency with Microsoft Office Suite software (Word, Excel, Powerpoint and Access).
•  Excellent organizational skills and be detail oriented.
•  Excellent oral and written communication skills to include experience proofreading and editing written materials.
•  Ability to maintain confidentiality.
•  Excellent math aptitude.
•  A Bachelors Degree in a related field. 
•  Excellent customer service skills.
•  Excellent problem-solving skills by effectively using resources and sound judgment.
•  Ability to work independently with little guidance. 
•  Knowledge of general office practices and procedures.
•  Ability to work within the organizational framework of SPU Workplace Expectations including our values on Safety, Respect, Diversity, Trust, Humor, Productivity, Integrity, Innovation, Partnership and Accountability. 
•  Ability to communicate and work effectively within a multicultural workforce serving a diverse customer base.
